We are seeking an enthusiastic and motivated Events Assistant to join our team. This individual will work closely with, and report directly to, the Events Manager to support the planning, delivery and administration of a wide range of events and lettings across the School.

This is a busy and fast-paced role within a vibrant Catholic independent boarding and day school community, where teamwork, flexibility and a positive, proactive approach are essential. Events take place during the School day, in the evenings and at weekends, and the Events Assistant will play an important role in ensuring these are delivered smoothly, safely and professionally.

Key responsibilities:

  • to assist in the organisation and delivery of School events, lettings and holiday camps across the Nursery, Preparatory and Senior Divisions
  • to support the maintenance and accuracy of the events and lettings calendar, ensuring timely updates
  • to assist with on-site event set-up, delivery and breakdown, acting as a point of contact during events where required
  • to support the Events Manager in the planning and delivery of School holiday camps and activity programmes
  • to liaise with Catering, Domestic, Operations, Estates and IT teams to communicate event requirements and submit catering and work requests within deadlines
  • to assist in the preparation, circulation and filing of event risk assessments, supporting compliance with Health & Safety requirements
  • to support the administration of Letting Agreements and Venue Hire Agreements for external users
  • to welcome, meet and check-in venue hire groups, ensuring Health & Safety procedures are communicated on arrival
  • to support website and Firefly event sign-ups, ticket issuance and badge creation
  • to ensure notice boards and internal communications effectively publicise upcoming School events, lettings and holiday camps
  • to assist in the design and production of event invitations, posters, tickets and promotional materials
  • to support the collection and analysis of attendance data and event feedback to inform evaluation and future planning
  • to help manage the Events mailbox and respond to routine enquiries in a timely and professional manner
  • to assist in maintaining and updating the Events and Camps pages on the School website
  • to maintain accurate event records, including attendee lists, ticketing information and basic financial tracking, as directed by the Events Manager

The successful candidate will be expected:

  • to be educated to A Level (or equivalent qualification)
  • to have experience of working in a similar role, ideally within a school setting
  • to have excellent communication, organisational and time management skills
  • to have excellent IT, creative design and interpersonal skills
  • to have an understanding of the importance of promoting and safeguarding the welfare of children
  • to have a willingness to participate enthusiastically in aspects of boarding school life
  • to have the ability to work alone and as part of a team to be a self-starter, highly motivated, proactive and keen to learn
  • to have approachability, confident demeanour and ability to empathise
  • to have discretion and sensitivity, including an understanding of professional confidentiality
  • to have flexibility to adapt working hours according to School needs
  • to have knowledge of the education sector or independent schools (desirable)
  • to have additional qualifications in events management and/or residential lettings (desirable)
  • to be educated to degree level, or equivalent qualification (desirable )
