Lettings Administrator
To work closely with the Lettings Manager (LM) to develop and coordinate the school’s commercial income through the external hire of its facilities. The role will also involve collaborating with the LM to identify new opportunities, contribute creative ideas, and support initiatives to attract additional business to the Lettings department.
Key Responsibilities:
Regular Lettings
- Manage and maintain strong relationships with current lettings clients.
- Ensure all booking forms are completed accurately and entered into the internal Room Booking System, the School calendar (SOCS) and the SchoolHire Lettings system
- Handle all communications with regular lettings clients, making booking adjustments as required.
- Produce and distribute a weekly lettings timetable for internal departments.
- Process invoices when required.
- Manage initial enquiries from potential new lettings clients and process new bookings.
- Record all new bookings in the safeguarding risk assessment system.
Meet new lettings clients on arrival and, when required, provide occasional evening or weekend check-ins.
Holiday Camps / Courses
- Use the MagicBooking system to manage camp registrations and respond to parent enquiries.
- Use JotForm to administer enrolment and payment processes for public courses such as the RLSS National Pool Lifeguard Qualification.
- Ensure all documentation and records, including medical information, are complete and prepared for the Camp Manager.
- Provide regular booking updates to the LM and Camp Manager.
- Liaise with the Finance team to follow up on payment requests and manage Childcare Voucher processing.
- Support the Camp Manager and LM with administrative tasks relating to camp activities, including organising trips, booking transport, and related logistics.
- Assist the LM in coordinating and developing both new and existing holiday camps and activities.
- Provide hands-on support during camps and courses, including interaction with parents, pupils, and the public, and communication with camp staff.
Event Management
Work alongside LM on a rota basis to duty manage a wide range of on-site events, including conferences, sporting events, evening functions, and concerts. ‑manage a wide range of
Produce event signage, maps, room layout plans, and complete risk assessments as required.
Liaise with the Catering and Facilities departments to ensure all event details are clearly communicated and delivered effectively.
Support the coordination and smooth running of a busy summer period involving residential lettings, holiday camps, and courses.
Marketing
Support the promotion of holiday camps and courses through a range of marketing activities.
Assist with targeted marketing of available facility hire spaces using social media, newsletters, and other communication channels.
Update the school website with information on upcoming camps and courses, and work with the Marketing Department to maintain and improve the Lettings pages.
Conduct market research into comparable facilities and institutions to identify opportunities.
Collaborate with the LM and the Marketing Department to produce event and lettings brochures for prospective clients.
New Business
Send catering brochures and room hire information to all new enquiries ‑ hire information to all new enquiries.
Liaise with relevant departments to check availability for new events.
Issue booking forms and collect all required documentation from clients.
Conduct site visits and tours for prospective new clients.
