Operations Manager (Finance & Database)
Winchester College Society is seeking an Operations Manager (Finance & Database) to manage all operational aspects for its global community. This pivotal role involves overseeing database integrity, financial processes, and providing essential support for fundraising and communications.
Winchester College Society (Win Coll Soc) connects former pupils, staff, parents, and others with the College, fostering philanthropy to support strategic objectives. This global community encompasses around 9,000 former pupils (Old Wykehamists) and approximately 2,000 former Dons, parents, and associates across over 70 countries.
The Role: Operations Manager (Finance & Database)
Winchester College is looking for an Operations Manager (Finance & Database) who will report to the Director of Development. This vital role supports the Win Coll Soc team by managing all operational aspects, enabling them to focus on external activities.
Key responsibilities include:
- Database Management: Overseeing the Win Coll Soc database of over 25,000 records, ensuring data accuracy, security, and integrity. This involves consistent data entry, enrichment, developing data management policies, and ensuring GDPR compliance. You'll work closely with the database provider (Toucan Tech), and collaborate with the Communications Officer for strategies and app development, and the Events Manager for online bookings. You'll also assist the Development Manager with donor reports, data campaigns, and mass appeals, and provide donor/gift information for various publications and meetings. Integration with the College’s IT systems is also key.
- Financial Management: Managing all departmental financial matters, including assisting with the annual budget, supporting gift administration, recording pledges, and managing renewal processes for various donor groups. You'll handle Gift Aid claims, reconcile financial information with the school’s Finance Department, conduct Anti Money Laundering (AML) checks, and collaborate with international "Friends of Winchester College" groups. Managing relationships with third-party gift processing agencies (Stripe, GoCardless) and ensuring operational online donation mechanisms are also essential.
- Major Donor Fundraising Support: Supporting senior colleagues by commissioning prospect research, preparing insightful prospect profiles and lists, managing the donor pipeline on Toucan Tech, and preparing briefing papers for meetings.
- Office Management: Taking overall responsibility for office operations, including benchmarking surveys, the annual Charity Commission return, departmental health and safety, stationery, and managing printers and mailing houses.
- General Duties: Supporting all team members, building strong internal and external relationships, adhering to data protection, safeguarding, and health & safety regulations, and committing to the success of Win Coll Soc and the wider school. Some weekend and evening work for events will be required.
Person Specification
The ideal candidate will have:
- Extensive experience managing a charity CRM (ideally Toucan Tech), processing donations, budget management, and reconciling income and expenditure.
- Experience drafting and updating policies and protocols.
- High levels of numeracy, accuracy, and attention to detail.
- Excellent IT skills, including Microsoft Office 365 proficiency.
- A thorough understanding of GDPR, PECR, and other relevant legislation.
- A strong sense of integrity, diplomacy, discretion, and confidentiality.
- Excellent analytical skills and evidence of creativity in problem-solving.
- The ability to multi-task and prioritize effectively under conflicting demands.
- Strong communication skills (written and oral) and confidence interacting with people of all ages and backgrounds.
- The ability to work independently with minimal supervision, as well as collaboratively within a busy team.
- A positive, welcoming, and friendly demeanor, a strong customer service approach, and self-motivation.
- An appreciation for the principles, ethos, aims, and aspirations of independent schools, including their traditions and innovations.
